Psychology Practice: Virtual Executive Assistant

Responsibilities:

Research

  • Independent Living Resources for Patients – housing, attendant care, communities of individuals with disabilities (IWDs)
  • HUD grants for projects to better living situations for IWDs, i.e., housing, R&D
  • Various books and articles
  • Psychology concepts, theories, and new focus, including plasticity of the brain


Setting up practice

  • Updating all current patient files
  • List of patients with current phone numbers, addresses and other pertinent information
  • Create form for case notes, assessments, and narratives
         i. Case notes to be completed after each session or end of business day
  • Create protocol for contacting patients, sending inventories, checklists; have drop box that patients can access to send information to practice e. Scoring inventories and other assessments to be placed in patient files and presented to Dr. for review before next session


Financial / Billing

  • List of insurance companies for current patients, including Medicare
  • Protocol/portal for self-paying patients and insurance payments to be directly deposited into business banking account (UpReach Inc)
  • Protocol for seeking information regarding payments for individual, family, and marital therapy
  • Seek out contact person for each insurance company who is willing to work with billing personnel and provide direction for highest potential payment
  • Ensure that billing is processed daily or on the business day following patient’s session
  • Follow up on delinquent payments (more than 17 business days)
  • Research and resolve any denied payments / use appeal process
  • Insurances with limited sessions should have automatic requests for additional      approved sessions at least 3 sessions before approved sessions expire

                  

Search for Personal Care Attendant (“PCA”)

  • Brainstorm actual PCA needs
         i. Number of attendants needed

                1. Live-in, weekends, peak hours vs overnight,

                2. Emergency situations ii. Budget iii. Schedule(s)

  • Compose advertisement listing duties and responsibilities
  • Circulate ad to job search engine sites – like LinkedIn, Monster.com, Indeed.com, etc.
  • Vetting responses for qualified applicants
  • Choosing individual, couples or teams


Assist with creation, editing and publishing of book

  • Possible titles:
    i. “A Salute to God: An Individual’s Appreciation for 56 Years of God’s Protection and Blessings While Living with Quadriplegia”

         ii. “A Salute to God: Thanks to Him for His Protection and Blessings Through 56

         Years of Living With Quadriplegia”

  • Determine purpose of book
  • Creating and establishing chapters and contents
  • Determine target audience(s)


Qualifications:

· 1-3 years VA experience preferably to a medical related US client

· Strong admin experience and research skills

· With experience in medical billing

· Proficient in Microsoft 365 and Google Suite

· Experience in content writing

· Languages: Must be fluent enough in English to hold a conversation and convey information

· Can work full-time, EST


Computer specs Requirement (work from home set up):

· Fiber connection and has at least 20mbps download and upload speed

· Has available backup internet

· At least 8GB of Computer RAM

· If possible, SSD system storage


Training will be on the job. It is understood that the individual will have a learning curve, but they will be expected to understand the inner workings of the company and be able to self-identify all tasks assigned.
